The Education and Training Program Coordinator provides non-clinical administrative support for Education and Training Department. Supports the daily operations and activity flow of department. Consistently demonstrates excellent organizational, communication and time management skills that help to facilitate efficiency and service excellence. Coordinates, supports, and advances goals and projects within education and training.

Bachelor's Degree required (Healthcare, Public Health, Business fields preferred)



Experience/Requirements:

A minimum of 5 years of relevant hospital access, Patient Registration and Customer service.

Knowledge, Skills: & Abilities



  • Ability to define problems, collect data, establish facts, and draw conclusions.
  • Critical thinking and demonstrates leadership abilities in order to address issues identified within the department, required.
  • Excellent interpersonal skills required to communicate effectively with co-workers, patients and insurance companies including on the telephone.
  • Proficient in data entry, and demonstrates the ability to retrieve, store, save data and print.
  • Knowledge of Medical Terminology is preferred
  • Proficient in Microsoft Office and Excel


ESSENTIAL DUTIES AND RESPONSIBILITIES:



  • Consistently facilitates communication among staff and other stakeholders by documenting and relaying messages in a timely manner.
  • Regularly answers general questions accurately and courteously according to department guidelines. Consistently communicates in a respectful manner which promotes privacy of patient/employee information and adheres to the privacy policies of HIPAA and Sibley Hospital.
  • Actively participates as a member of the Education and Training team by assisting team members/coworkers as needed within scope of practice and by accepting assignments of related jobs.
  • Effectively establishes priorities for pending projects and notifies the education staff if assistance is needed.
  • Inventories education departmental/teaching supplies, orders, receives and stores supplies at appropriate levels. Maintains adequate inventory of office supplies and establishes appropriate routine for identifying and ordering appropriate supplies. Regularly checks delivery of supplies to verify accuracy.
  • Completes and tracks special orders as requested.
  • Prepares timely check requests for payment of invoices, travel attendance and reimbursement, certification, preceptor/mentoring bonuses, etc. Maintains records of office expenses, verifies expense data, files expense reports, and prepares and monitors departmental office supply budget.
  • Prepares and submits requests to the Sibley Foundation once approved by the department director.
  • Deals discreetly with sensitive, confidential information concerning professional and personal information about staff and hospital programs/operations.
  • Prepares outgoing mail, maintains files and records in an accurate manner and keeps accurate files of current correspondence in an organized fashion.
  • Demonstrates regular and reliable attendance.
  • Assists with preparation for all classes/events. Compiles and mails/emails materials to participants, schedules room and refreshments, assists with scheduling physical set-up of room and coordinates scheduling and set-up of AV equipment. Prepares handouts and packets and prepares certificates for all participants. Makes arrangements for outside speakers including: hotel reservations, transportation, and specific needs as requested.
  • With minimal supervision, schedules, and supports committee meetings, including preparation and distribution of meeting notices, agendas, minutes, and materials.
  • For education and training purposes, maintains current list of employed registered nurses, including assigned units.



COORDINATING DUTIES AND RESPONSIBILITIES:




  • Senior Administrator for the online learning management systems. Processes department/division/organization programs and classes as requested, including but not limited to:
  • Creating course content subject to department or individual's needs/requests
  • Granting test access, inputting course rosters, creating course codes, and printing transcripts and reports;
  • Assigning coursework, entering completions and retrieving data.
  • Enrolling and assigning credit to employees for in-services offered by all departments;
  • Developing tools to support navigation within the LMS system by end users as appropriate;
  • Provides ongoing support and reports to Human Resources related to online courses/testing as requested.
  • Coordinates, leads, and supports all aspects of Clinical Orientation and Day 2 of Hospital Orientation, including but not limited to:
  • Educating non-clinical presentations in nursing orientation, such as HPO and Sibley Intranet
  • Coordinating EPIC computer training
  • Lead for contract orientation
  • Sending reminders to invited speakers
  • Preparing learning materials
  • Enrolling new hires in all My Learning assigned courses, including required online modules based on specialty area (i.3. HIPAA, Science of Safety, etc.).
  • Organizing Manager/New Hire luncheon
  • Coordinates all aspects of American Heart Association certifications offered by Sibley. (i.e. BLS, ACLS, etc.).
  • Provides administrative support to the Nurse Residency Program, including but not limited to the following:
  • Coordinate meetings reservations for classes and semi-annual graduation ceremony
  • Manage NRP database, including employment status and demographics
  • Manage Clinical Student Rotations and Nurse Practicum program through the following:
  • Manage and act as primary liaison for the Castle Branch student placement system
  • Coordinates student orientation as frequently as needed
  • Assign JHEDs, e-learnings, and EPIC training for students and clinical instructors
  • Supports department with management of training for clinical faculty as well manages calendar for student rotations.
  • Manage and tracks contracts for the Education and Training Department, including but not limited to affiliation agreements with colleges and universities. Ensures compliance.
  • Supports special projects as delegated by the department director and/or PCS Project Manager


OTHER DUTIES AND RESPONSIBILITIES:




  1. Orients new departmental employees to office procedures, operation of equipment, location of supplies, etc.
  2. Performs other related duties as assigned.

  • Excellent knowledge of Microsoft Office Products and ability to mentor departmental staff in the use of the Microsoft Office Suite.
  • Ability to prepare professionally written reports.
  • Good oral and written communication skills.
  • Excellent knowledge of grammar and the ability to proofread documents.
  • Basic math and computation skills.
  • Ability to interact with people of diverse backgrounds using tact and diplomacy.
  • Skilled in managing a busy office.
  • Ability to work under pressure and maintain focus despite interruptions.

Salary Range: Minimum 20.40/hour - Maximum 33.65/hour. Compensation will be commensurate with equity and experience for roles of similar scope and responsibility.
