POSITION SPECIFICS The Pennsylvania State University's Department of Biochemistry & Molecular Biology (BMB) in the Eberly College of Science is seeking an energetic, motivated, and experienced Administrative Assistant to join our highly productive team. This position is responsible for providing administrative support to the chair of the Seminar and Distinguished Lectures Committee and the chair(s) of the Faculty Search Committee(s). The role requires an extremely organized individual who displays a high level of professionalism and the ability to perform a wide variety of complex administrative functions both independently and in a busy team-oriented office environment. Excellent written and verbal communication skills are also required. Duties include but are not limited to: Department seminars and distinguished lectures: Work closely with the chair and faculty host to coordinate visits for guest speakers. Compose letters, prepare informational packets, communicate with guests. Advise faculty hosts and guests on department seminar procedures. Arrange travel and flights, schedule shuttle service/taxi, secure hotel accommodations, make dinner reservations. Arrange catering and special events. Submit honorarium requests. Monitor budget and expenditures. Ensure financial forms are submitted in a timely manner. Reconcile SAP Concur transactions related to guest speakers. Prepare and distribute itineraries and seminar notices. Maintain electronic mailing list. Submit web content to department webmaster. Reserve classrooms and equipment. Prepare press releases for submission to the Eberly College of Science Office of Communications. Arrange videotaping and videoconferencing as needed.
Candidates must demonstrate professionalism with a high commitment to customer service; excellent interpersonal/communication skills both written and oral, organizational skills with attention to detail and accuracy; ability to manage and prioritize tasks with minimal direction; and exercise discretion and judgement while managing a high degree of confidential information. Required Experience: Proficiency is required in standard computer applications and programs (e.g. Office 365, Adobe, Zoom, etc.), email, calendaring, and file management. Experience with financial systems like SAP Concur would be helpful. MINIMUM EDUCATION, WORK EXPERIENCE & REQUIRED CERTIFICATIONS General Equivalency Diploma (GED) or High School (HS) 2+ years of relevant experience; or an equivalent combination of education and experience accepted Required Certifications: NoneAdditional Information Candidates for consideration must submit a cover letter of interest and a resume.
