POSITION SPECIFICS

The Center for the Performing Arts at Penn State is seeking applicants for the position of Administrative Assistant.

Ever-changing and growing, the Center for the Performing Arts stands as one of Pennsylvania's major cultural resources and continues to be a nationally recognized presenter of artisticworks.

The Administrative Assistant plays a vital role at the Center by completing this position's responsibilities, which include but are not limited to:

  • Manage and support all administrative operations of the administrative unit to include monitoring of Directors/Admin budget, mail processing, calendar management and travel coordination.

  • Compose scripts and confirm pre-performance introductions by community members.

  • Organize and implement internal and external events, meetings, and virtual artist visits.

  • Support and help implement the Center's strategic plan and related processes.

  • Coordinate meetings with agents and artists; conduct research and data analysis to support programming decisions.

  • Maintain and manage Center staff records; assist with hiring, onboarding, wage new hire processes, and other human resources-related (HR) functions.

  • Participate in College HR meetings and stay current on HR policies, communicating updates to staff.

  • Assist with ensuring compliance through annual training and communicating to staff program requirements.

  • Manage donor relations on behalf of the Director and provide administrative support for advisory councils.

  • Assist with development initiatives, including grant applications, reporting, and tracking.

MINIMUM EDUCATION, WORK EXPERIENCE & REQUIRED CERTIFICATIONS

Associate Degree 4+ years of relevant experience; or an equivalent combination of education and experience accepted Required Certifications: None

Work Arrangement and Scheduling Expectations:

This position primarily requires on-site presence, as it serves as a key role in representing the office during the Director's travel and engagements. While hybrid work is not standard, limited flexibility may be arranged in advance, particularly during the summer (June to mid-August).

Evening and weekend hours are required, averaging 1-2 weekday evenings per week and 1-2 weekend events per month during the academic year. Summer schedules are generally lighter but remain flexible.

Qualifications:

Experience using Microsoft Office 365 Adobe Creative Cloud is necessary.

The ideal candidate will have an excellent capacity for building community, conscientious attention to detail, and projectand time management abilities to manage multiple projects in a fast-paced environment.

This position will report to the Director of the Center for Performing Arts.

SALARY & BENEFITS

The salary range for this position, including all possible grades, is $42,100.00 - $61,000.00.
