About the Role

The Payroll Processor is responsible for the timely and accurate processing of employee maintenance and data entry. This role is also responsible for creating and maintaining organized employee records/files and managing the payroll group email box. The use of various logs, checklists and work aids and tools must be used and maintained to ensure accurate and consistent processes including follow up with outstanding items.

What you'll do:

  • Manages, assigns, and responds to emails in the high-volume payroll group email box. Organizes and codes messages for follow up. Ensures that the team has followed up and resolved any outstanding items.
  • Monitors and manages Workday task in box. Completes the review and adds appropriate coding for new hires and transfers and submits transactions.
  • Reviews timecards, communicates with employees and/or managers for missing punches.
  • Analyzes time keeping vs payroll results compares for any anomalies. Make necessary corrections.
  • Accurately performs employee maintenance items such as validation of new hires, terminations, voluntary deductions, wage attachments, direct deposits, and tax changes, etc. Keeps all records in a thoughtful and organized fashion.
  • Excellent oral and written communication skills. Ability to draft appropriate communication to employees and agencies. Able to demonstrate proficiency using Microsoft Outlook, Word, and Excel.
  • Creates and maintains employee's payroll personnel files. Applies proper record retention polices to organize and store files for later retrieval.
  • Researches and responds to requests for information by employees regarding personal payroll information and to Agency requests including verification of income and employment verification and responses to agencies regarding wage assignments.
  • Tracks and sends letters to employees with outstanding checks on a monthly basis. Communicates to banking team if a stop payment needs to be placed on a check. Notifies the Payroll supervisor to reissue the payment once stop payment has been confirmed. Further notify the location that a replacement check will be in the next payroll.
  • Excellent customer service skills and works to build relationships with and responds to requests for information by any business unit that needs payroll assistance including HR, Benefits, Tax, IT, Treasury etc.
  • Enters and maintains employee data updates in Asure time and attendance systems. Able to answer questions regarding timecard entries.
  • Ability to print, sort payroll checks and advices and distribute timely on a twice weekly basis.
  • Sort and distribute incoming mail and respond appropriately to requests for information.
  • Ability to multitask, manage tasks and time while performing tasks in a fast-paced environment while maintaining a high level of detail, accuracy, and professionalism. Constantly prioritize multiple tasks in order to meet daily/weekly deadlines.
  • Have initiative and ability to motivate self in applying new technology and ideas to improve current work processes.
  • Works closely with Payroll Analyst to be back up as needed.
  • Special projects as assigned by the payroll supervisor or director.

And these qualifications:

  • 2-4 years of administration experience in a Payroll, Finance or Accounting area.
  • To perform this job successfully, an individual should have knowledge of Database software, mastered skills of Outlook email and calendars. Exhibit skill, comfort, and agility in working with spreadsheets to create, maintain and track data.
