The Opportunity: We are seeking a Principal Administrative Business Partner to join the Chief Marketing Office (CMO). This position focuses on providing strategic, operational, and administrative support to senior executives within the CMO department and across key teams, including Marketing, Digital Marketing Office (DMO), Access & Account Marketing (AAM), and Health Impact. The ideal candidate will act as a thought partner and representative of the executives on our team. This is a dynamic, high-impact role-not a cyclical one. Success requires strong organizational skills, comfort with ambiguity, and the ability to pivot quickly as business needs evolve. Functional Job Responsibilities: This role provides strategic and high-impact support to the Chief Marketing Office (CMO) and the broader 1Marketing (1M) organization. Key Responsibilities:
- Executive & Cross-Team Calendar Management: Independently manage complex, dynamic calendars across senior leaders and 3-4 teams within the CMO and 1M function, ensuring alignment and prioritization of key business activities.
- Strategic Communications: Draft and send communications on behalf of the CMO and 1M leadership, ensuring clarity, tone, and alignment with organizational goals.
- Event Planning & Execution: Own end-to-end logistics and planning for key internal events such as Partner Day, CMI Workshops, Champion Meetings, team off-sites, MOAT, Digital Academy, People and Culture Events, and Tactical Planning sessions.
- Training & Rollouts: Support the coordination and delivery of organization-wide training sessions and program rollouts, ensuring smooth execution and engagement across the 1M team.
Data & Confidential Information Handling: Manage sensitive and confidential people-related data, including P&C reports, hiring trackers, Veeva tracking, and the 1M roster, with utmost discretion and data integrity. - Operational Oversight: Oversee planning and execution of all 1M function-wide meetings and events, acting as a key operational hub across initiatives.
General Job Responsibilities
- Strategically partner with executive(s) to provide sophisticated administrative and operational support. Contribute to his/her team's effectiveness through the ability to multitask, organize, plan, anticipate, engage, and prioritize with a sense of urgency when necessary
- Management and handling of highly sensitive and confidential information will be a key component to the role, including the ability to navigate sensitive issues with internal and external parties
- Strategic and independent calendar management across multiple time zones. Requires a deep understanding of the executive's priorities and knowledge of key stakeholders. Proactively address issues with little direction.
- Oversee and execute internal and external engagement/presentation management - including but not limited to fielding all incoming requests, confirm/decline executive's participation, track deliverables, work closely with executive communication partners and other key stakeholders to ensure executive is prepared and all other aspects for engagement management are covered.
- Create and maintain the executive's annual master calendar including leadership meetings, offsites, congress events, business travel, key stakeholder meetings, etc.
- Provide extensive Project Management for key cross-functional event preparation for large-scale meetings and offsites both internally and externally.
- Independently lead the planning & execution of meetings at Congress events, Global Summits, etc (venue & speaker selection, technical AV requirements, catering, agenda setting, contract management)
- Manage rolling agendas for executive's leadership team meetings & oversee the collection and distribution of all meeting materials
- Coordination and execution of web-based meeting technologies; google chat, zoom, telepresence, videoconference, teleconference meetings
- Professional presence and inspires confidence with key stakeholders. Build a strong rapport with global, high-level internal and external stakeholders, managing communications on a variety of inquiries and requests
- Act as a representative and ambassador to executive and their organization
- Serve as thought partner with leadership to assess employee engagement, gauge informal pulse checks, share ideas for enhancing engagement
- Manage various gSites, Spaces, websites, newsletters, etc. (collect content, distribute information, oversee maintenance)
- Manage administrative components and logistics of onboarding (ensure new hires have information for orientation, welcome events, manage devices, add to appropriate distribution lists)
- Expert proficiency and knowledge of available Genentech IT systems (ex: cSuite, collaboration tools)
- Extensive expertise with organizing complex global travel arrangements/itineraries, including experience solving urgent mid-travel flight and schedule changes
- Complete complex expense reports
- Manage vendor selection and processing of contracts as they relate to speaker engagements, purchase orders, invoice submissions & contract creations
- Lead department administrative team to ensure alignment, awareness of new business processes, and foster a sense of community.
- The person in this role will be seen as a leader and mentor to other administrative colleagues.
Who you are: Required Skills and Qualifications:
- A Bachelor's Degree (or equivalent experience)
- Proven experience working in progressive administrative roles throughout career
- Ability to make independent decisions and problem solve without reliance on precedent or supervisory guidance
- Demonstrated executive presence and exceptional communication skills, written and verbal.
- Ability to be available for support outside normal working hours (including some evenings and weekends)
- Proactive self-starter who can work independently and anticipate the executive's needs.
- Excellent judgement with the ability to make critical decisions independently.
- Strong organizational skills and the ability to be extremely flexible while managing conflicting, shifting and competing priorities with minimal direction.
- Proven experience supporting multiple leaders in different functions and large organizations.
- Experience working directly with clients (virtually and in person).
- High level of maturity and works well under pressure.
- Experience supporting a senior executive in a fast-paced and demanding corporate work environment.
- Highly organized with the ability to multi-task and high attention to detail.

- Possess strong meeting planning, coordination, interview scheduling and logistics management for teams and work groups including all-hands and town hall style events.
- Possess strong organizational skills, managing concurrent projects, prioritizing tasks and managing timelines.
- Possess strong logistics skills, ensuring daily business operations are supported, including basic materials purchasing, employee recognition, employee engagement activities and other associated support tasks.
- Strong skill set in supporting executive level management, including managing travel (domestic and international), expenses (Concur) and complex calendar management.
- Strong communication skills including the ability to draft effective executive communications based on limited input.
The expected salary range for this position based on the primary location of South San Francisco, CA is $105,600 - $196,000 USD Annual. Actual pay will be determined based on experience, qualifications, geographic location, and other job-related factors permitted by law.
